Wedding Reception Questionnaire

Below is of list of questions we will be asking to plan your wedding reception. 

  • Feel free to ask us any questions regarding any of the questions below.
  • Do you have a timeline of events (see sample)?
    • This should list:
      • Decorating times
      • Ceremony time and location
  • Guests arrive at what time?
  • Guests do what while waiting on bridal party to arrive?
    • (Food/Beverage ordered)
  • Wedding Party arrival time?
    • (Check with your photographer)
  • Is there an introduction of wedding party?
  • Is there a blessing?
  • Dinner service to begin at what time?
  • Toast – time?
    • With what beverages?
    • Is there a bar?
  • Cake Cutting time?
    • Who?
  • First Dance – When?
  • Music playing from start time – end time?
  • Who is the onsite planner or Master of Ceremonies for the reception? 
    • Should be someone who can greet guests and make decisions before wedding party arrives.
  • Do you have candles that need lit?
    • If so at what time?
    • Should we check with onsite planner before starting?
  • What color table cloths, napkins and table skirting would you like?
  • Room layout – we can provide you with a blank map and assist.
  • Gift Table?
  • Guest book table?
  • Favor table?
  • DJ table or band space?
  • Open area for dancing?

Sample Timeline for Reference

  • 9:00 AM – Arrive at reception site to decorate venue
  • 11:00 AM – DJ and Florist arrive at reception site
  • 2:00 PM – Wedding ceremony takes place (30 min ceremony; 15 minutes from reception venue)
  • 2:45 PM – First guests arrive at reception site; Greeted by onsite planner
  • 2:45 PM – Hors d’oeuvres and beverages begin for cocktail hour
  • 3:45 PM – Wedding party arrives
  • 3:50 PM – Wedding party introduced by DJ
  • 3:55 PM- Blessing, using DJ microphone
  • 4:00 PM – Dinner service begins
  • 4:45 PM – Toast with champagne, using DJ microphone
  • 4:55 PM – Cake cutting and guests help themselves to cake
  • 5:00 PM – Bar Opens
  • 5:00 PM – First Dance
  • 5:05 PM – Father/ Daughter Dance, etc…
  • Dancing Continues
  • 8:00 PM – Bar closes, final dancing of evening, send off of bride and groom
  • 8:15 PM – Clean up begins
  • 9:00 PM – Event over
